How to prepare a clear invoice

A practical guide to creating clear invoices, covering customer details, line items, tax, totals and final checks.

Pre-send checklist

Check supplier and customer names, invoice number and date, line descriptions and quantities, currency, applicable tax, total and payment details. Local rules may require additional fields.

Identify the parties

Include the seller’s trading name and contact details and the buyer’s details where appropriate. Use an invoice number that is unique in your own records.

Make each line understandable

Describe what was supplied, the quantity, unit price, discounts and tax treatment. Show the subtotal, taxes and final amount separately.

Review before sharing

Check dates, currency, payment terms and arithmetic. Save a copy for your records. Invoice requirements vary by jurisdiction.
